From an incoming request to a reviewed update.

Consider an assistant helping a service team process customer enquiries. The assistant prepares information for the team while the surrounding workflow controls what can happen in the case-management system.

  1. Understand the request

    Identify the topic, gather the necessary details and ask for clarification when information is missing.

  2. Prepare a proposal

    Retrieve relevant guidance and permitted case information. Suggest a category and draft a response, with supporting sources where appropriate.

  3. Review and approve

    Let the responsible person check and edit the proposed response and case update before approving the defined action.

  4. Apply or hand over

    Make the approved update through the application interface. Confirm the result, or hand the case to the team if the update fails or needs further attention.

Permissions and approval

Separate access to information from permission to change it. Define allowed actions, validation rules and approval requirements for each user role and workflow.

Traceability and handover

Agree which actions and decisions need to be recorded, who can inspect them and how long records are retained. Give people a clear way to take over with the relevant context.

Failure handling

Plan for unavailable systems, incomplete information and unsuccessful actions. Check the actual result before reporting completion, and design retries to avoid duplicate updates.

Test the whole task, from request to result.

Start with a bounded use case and representative examples from the people who do the work. Agree what a successful outcome looks like and which decisions must remain with them.

Evaluate task completion, answer quality, action accuracy and the effort required to review or correct the result. Test exceptions and permission boundaries alongside response time and operating cost.

A focused prototype can establish feasibility before broader integration. Deployment, monitoring and support are then planned around the agreed scope, with support levels and response commitments tailored to the customer.
