01 / Context

A shared view of government operations.

Financial, staffing, case management and customer service information sits in different operational systems. Bringing it together helps leaders understand how government offices are working, identify trends and examine the details behind a management question.

KIIR VIR was developed to meet recurring and ad hoc information needs through a common reporting environment. Its intended users include senior officials and operational management in the Prime Minister’s Office, government commissioners, and the executives and managers of government offices.

02 / Integrated systems

Five systems, connected for analysis.

iCode integrated data from the systems used to manage government offices’ finances, people, documents, customer service and operations. Each source contributes a different part of the management picture.

KIIR GR

Financial Management System. Financial data for reporting on budgets, commitments, revenue and expenditure.

NEXONhr

Human Resources Management. Personnel information for staffing and workforce analysis.

EKEIDR (Poszeidon)

Document and Records Management System. Document and records data supporting case management analysis.

Customer Service Desk by Multimex

Customer calling and queue management at government service offices. Data for analysing customer service activity.

MMR

Operations Management System. Information about operations and help desk activity.

03 / Data and reporting

Turn operational records into usable information.

Automated daily data imports brought information into a shared data warehouse. KNIME workflows prepared and aggregated the data for analysis and reporting. Moving this work into the reporting environment reduced the aggregation workload on the operational source systems.

Web dashboards and interactive reports gave users a way to explore the data, drill into details and view results in charts and tables. PDF and Excel exports supported further analysis and the circulation of reports.

How information reaches decision-makers
  1. CollectImport data from the five operational source systems.
  2. Prepare and analyseCombine and aggregate records in the reporting environment.
  3. Explore and reportPresent dashboards, interactive reports and exports to decision-makers.
Conceptual data flow. Scheduled collection and preparation support management reporting.
04 / Engineering

Built as an integrated government system.

iCode’s role combined solution architecture with development of the management information system. The delivery included automated data extraction and report preparation, integration with the government security environment, and system monitoring.

The architecture used a private cloud environment with geographic redundancy and high availability. Automated deployment and configuration, centralised logging and operational documentation supported installation and maintenance.

05 / Delivered scope

Broad reporting across government operations.

Integrated source systems

Analytical areas

Implemented reports
~80

The scope included five source systems, six analytical areas and approximately 80 reports. The analytical areas covered finance, human resources, case management, customer service, facility and asset management, and operational support.

The result was a common foundation for management reporting across information that had previously been held in separate systems. KIIR VIR is one selected example from iCode’s wider software development history since 2003.
